Enhanced Member Status

Policy Adopted December 20th, 2024

A. Initiation and Reinstatement

1. The Board will start assessing submissions for Enhanced Member Status starting March 1st, 2025.

2. Enhanced Member Status is only granted to qualifying individuals within a Membership.

3. You must meet all of the following criteria to be considered an Enhanced Member:

(a) You are a senior member and fulfilled its obligations under Bylaw 6.

(b) You have been a member for the previous 12 months.

(c) You are at least 25 years of age.

(d) You are a member in good standing.

(e) Your membership privileges have never been suspended for cause.

(f) You have completed the Safe Sport Training offered by Sport Canada.

(g) You must prove community contribution to our sailing club over the prior 12 months. Please refer to D - Community Contribution Guidelines.

B. Expiration and Renewal

1. Enhanced Member Status expires on March 1st, regardless of the date it was issued.

2. Upon renewal, you must meet the following criteria:

(a) You currently hold Enhanced Member status that has not already expired.

(b) You have renewed your membership for the current calendar year.

(c) You remain a member in good standing.

(d) Your membership privileges have never been suspended for cause.

(e) You must prove community contribution to our sailing club over the prior 12 months. Please refer to D - Community Contribution Guidelines.

C. Proof of Status

1. Enhanced Members are issued an SMSC Members Card that indicates Enhanced Member status, with an expiration date.

2. An Enhanced Member must keep their Enhanced Member card with them when taking advantage of exclusive benefits listed in E - Enhanced Member Benefits.

D. Community Contribution Guidelines

1. If you do any one of the following, you have proven Community Contribution:

(a) Deployed or Winterized the marina.

(b) Winterized club boats.

(c) Hosted at least two social events.

(d) Served tables for at least two social events.

(e) Provided Volunteer Bartender service two times.

(f) Served as a Director for the previous term.

(g) You serve as a Director for the current term.

(h) Served on a committee for at least three months.

(i) You have chaired a regatta last term.

(j) You are chairing a regatta this term.

(k) You made a significant contribution to a regatta.

(l) You or the company you own was a Gold-Level Sponsor of Bay Wind, or has made a similar financial contribution to the Sailing Club.

2. If you have made a contribution of similar significance, but it is not listed under D.1, then you are welcome to provide a brief summary for consideration.

E. Benefits

1. Privileged Clubhouse Access

(a) You may use the clubhouse for small gatherings without charge.

(b) All Enhanced Members will be given the necessary cards and codes to access the building without the need for staff.

(c) Groups are restricted to 20 people or less.

(d) For non-exclusive access, an Enhanced Member may show-up unannounced.

(e) You may not enter the clubhouse if a sign is posted indicated that the clubhouse is exclusively being used for an event or event preparation.

(f) You are encouraged to check the SMSC Calendar of Events on our website, and check with the Club Manager in advance for availability.

(g) You may exclusively reserve the clubhouse for three hours, at the discretion of the Club Manager.

(h) There is a booking fee of $25 for exclusive reservations, but no rental fee.

(i) An Enhanced Member may only make one exclusive reservation at a time.

(j) Exclusive reservations must be made one week in advance.

(k) If you need to unlock the clubhouse, you will need to sign-in using the QR code posted near the security alarm.

(l) All of your non-member guests full names must be provided during the sign-in.

(m) If you have a Volunteer Bartender in your party, that bartender is welcome to open the bar. The Volunteer Bartender Guidelines apply, which include ensuring all guests have been signed-in, where there are a maximum of four guests per member.

(n) As an Enhanced Member, you are responsible for leaving things in a clean and orderly state.

(o) No outside alcohol is permitted.

(p) All current club policies are in force. You may find them at http://smsc.ca/ under the Governance menu item.

(q) If you require a Special Occasion Liquor License or need hired staff, then you will need rent the clubhouse at the regular rate and enter into a formal rental contract.

F. Responsibility and Authority

1. The Board of Directors is responsible for assessing whether a member meets the criteria in A.2 or B.2 for attaining Enhanced Member Status.

2. The Board of Directors is responsible for assessing whether a member meets the D. Community Contribution Guidelines.

3. The Board may delegate these assessment responsibilities to a committee.

4. Only the Board has the authority to grant an Enhanced Member Status, but may do so based upon a committee’s assessment.
